Send hundreds of offer letters at once, each with its own salary and start date
With BoldSign, you build the offer letter once, list your new hires in a CSV file, and send up to 250 in one go.
- Each letter filled from its own CSV row
- Every reply tracked in one list
How do you send offer letters to many new hires at once?
BoldSign’s Bulk Send sends a whole batch of offer letters from one template and one CSV file. Each new hire gets a letter filled from their own row.
Works in: the BoldSign web app, in any browser.
Offer letters should not become the bottleneck in your hiring plan
Copy, paste, repeat
Preparing each letter by hand means retyping names, titles, salaries and start dates. One wrong figure in one letter creates rework and a poor first impression.
With BoldSign: you build the offer letter once and list your new hires in a CSV file, so each letter carries its own details. See the 3 steps
Chasing signatures
Recruiters lose hours following up across inboxes, and strong candidates slip away while an unsigned offer waits for attention.
With BoldSign: one Send reminder step nudges every new hire who has not signed. See follow-up after sending
No single view
Without one place to see who signed, who declined and who is running out of time, reporting to hiring managers turns into a spreadsheet exercise.
With BoldSign: every batch sits in one list that shows who has signed, declined, or not replied yet. See the batch view
What are the steps to send offer letters from one template?
BoldSign sends a batch of offer letters from a saved template in 3 steps, so one approved letter serves every hiring cycle.

Build the offer letter template
Upload your letter and add a field for each detail that changes, such as salary.

- Send reminder nudges every new hire who has not signed, in one step.
- Extend the deadline on unsigned offers when a candidate needs more time.
- Download CSV exports each batch’s field values for your HR records.
Speed for recruiters, confidence for HR and legal
BoldSign Bulk Send keeps every offer individual and traceable, with controls that stop mistakes before a batch leaves your account.
Signer verification per candidate
Protect offers with an access code, email OTP or SMS OTP before a candidate can open the document.
Validation before anything is sent
Missing titles, invalid CC emails, unsupported phone regions and plan limits are caught up front, so a bad row never reaches a candidate.
Revoke with a recorded reason
If a requisition closes, revoke every pending offer in the batch. A reason is required, and only the job owner can revoke.
Terms agreement and audit trail
Every bulk-sent offer requires the candidate to accept electronic signing terms, and each document keeps its own audit trail, available in the signer’s language.
Your brand on every offer email
Apply your company logo, colors and email wording so candidates recognize the offer as coming from you.
How is offer letter data kept secure?
BoldSign encrypts every offer letter twice with AES-256. Its security controls are independently audited for SOC 2 Type 2, and each standard is listed in your account’s Compliance page, shown below.

Why choose BoldSign for sending offer letters in bulk
BoldSign gives HR one place to prepare, send, and track every batch of offer letters.
- ★★★★☆ 4.0
I send a large volume of hire packages for signing during certain times of year. Hiring supervisors being able to see all of the packages that require their attention in their dashboard is a game changer. Previously, they would need to search their extensive inboxes for individual emails.

Questions HR teams ask about sending offer letters
Are offer letters signed with BoldSign legally binding?
Yes. BoldSign signatures are legally binding under the ESIGN Act, UETA, and eIDAS.
Can each offer letter have its own salary, role, and start date?
Yes. BoldSign turns each template field into a CSV column. Every letter then carries that new hire’s own salary, role, start date, and any other detail you add.
Do new hires need a BoldSign account to sign?
No. BoldSign sends each new hire a signing link, and they sign without an account, an app or any payment.
Can new hires sign their offer letter on a phone?
Yes. BoldSign signing pages work in any phone browser, so a new hire opens the link and signs without installing anything.
Where do signed offer letters go?
BoldSign stores every signed letter in your account with an audit trail of when it was sent, viewed, and signed. Each signer can get their copy by email.
Is there a free trial for sending offer letters?
Yes. BoldSign offers a 30-day free trial that the Growth and Business plans share, with 50 eSignature documents. Signups with a public email domain, such as Gmail, get a smaller allowance.
